All About You

The Project Support Specialist performs a variety of tasks that include: customer data management and sales order management in support of construction and service projects for the ESS division. The individual is expected to manage construction and service project data to process customer accounts to be able to receive invoices and make corresponding payments. Also, the Specialist manages sales orders from the creation of non-inventory items to coordination with Finance for propor management of orders. This role requires attention to detail to ensure that project records are accurately maintained and project teams are properly supported with the most up-to-date customer, order, and project documentation. This position prepares, schedules, reports, and tracks project order information. This position supports both, construction and services (LTSA) projects.

Requirements

  • BS or BA degree in business administration or professional work experience in lieu of
  • Minimum 5 years' professional work experience
  • In depth experience with MS Office including MS Excel
  • Experience with ERP systems, ability to multi-task, great attention to detail

Responsibilities

  • Customer Data Management: Processing of new accounts in ERP. creating customer entity, activation process in cooperation with Finance
  • Customer Data Mangement: Compiling, storing, and processing all customer documentation, and keeping recordsas per QMS/ISO standards and processes
  • Customer Data Management: coordinates with customer to obtain: credit application, supplier registration forms, remmitance advice, invoices. Works directly on customer portals as required.
  • Sales Order Management: Creates non-inventory items. Coordinates with Finance for activation in ERP. Compiles cost-files and order documentation, tax certificates, contracts, etc.
  • Sales Order Mangement: Raises sales order and distributes acknowledgments to stakeholders. Communicates with customers on updates and changes.
  • Sales Order Management: Coordinates with production and logistics on work planning and shipping requirements. Manages exceptions and overall process from PO to delivery
  • Sales Order Management: Validates ERP for items out of inventory. Distributes invoices.
  • Sales Order Management: Meets with Service Managers and Finance team for coordination of works, forecasting and follow-up
  • Produces Sales Order reports for Finance, and follows up on customer late payments
  • Keeps accurate records of customer info and documentation, and assists with project-specific documentation (classification, technical records keeping)
  • Schedules team onsite visits (arranging conference room, schedule, lunch, dinner, Travel), and assists with agenda generation for coordination of team travels (domestic/international)
